Come build something with Shepley Bulfinch as an Office Coordinator!

We are seeking an Office Coordinator to support the day-to-day experience of our studio—ensuring the space is welcoming, organized, and ready for collaboration. This role requires cross-departmental collaboration within our architecture firm, high levels of communication and a proactive, solution-oriented attitude.

Who We Are

Shepley Bulfinch is a national architecture and design firm with offices in Boston, Hartford, Houston, Phoenix, and Durham. Founded in 1874, the firm has a notable legacy of challenging convention, pioneering visionary design ideas, and collaborating with clients who seek to drive measurable change.

You are approachable, confident, independent, and excited to collaborate in a creative environment. You are passionate about details, proactive, reliable, and enjoy creating experiences for people. In this role you cultivate and champion the office experience for our teams and guests. This includes serving as the point of contact for Bulfinches (that's us) and guests on all office-related matters. As the point-of-contact in the office, finding solutions and thinking beyond the problem is motivating to you; you’ll bring order to our fast-paced, deadline-driven office.

Qualifications

  • Minimum of 2 years' experience in an office environment
  • Exemplify strong organizational skills, attention to detail, and the ability to juggle multiple tasks in a fast-paced environment
  • Proactive, resourceful and solution oriented
  • Great at execution and follow-through
  • Comfortable with technology and knowledge of basic office equipment, including printers, scanners, copiers, Microsoft Office suite, etc.
  • Ability to lift 15 to 50 pounds

In this position you’ll help create a positive environment by preparing meeting rooms, keeping supplies stocked, planning and setting up events, plus coordinating with building staff and IT to keep everything running well. This role will also focus on documentation, virtual coordination, helping with research, and planning and executing firm activities. With Shepley embracing a hybrid-forward work model, this position is expected in the studio at least 4 days a week with the opportunity to work from home one day a week, if desired. The balance of in-person and remote work helps keep both our physical space and virtual operations running smoothly.

Why are you being asked to complete this form?

We are a federal contractor or subcontractor. The law requires us to provide equal employment opportunity to qualified people with disabilities. We have a goal of having at least 7% of our workers as people with disabilities. The law says we must measure our progress towards this goal. To do this, we must ask applicants and employees if they have a disability or have ever had one. People can become disabled, so we need to ask this question at least every five years.

Completing this form is voluntary, and we hope that you will choose to do so. Your answer is confidential. No one who makes hiring decisions will see it. Your decision to complete the form and your answer will not harm you in any way. If you want to learn more about the law or this form, visit the U.S. Department of Labor’s Office of Federal Contract Compliance Programs (OFCCP) website at www.dol.gov/ofccp.
